Purpose

The Office of Integrated Performance Management at Oak Ridge National Laboratory (ORNL) seeks to hire a Document Control Specialist. The primary purpose of this position is to process, maintain, retrieve, and disseminate information in support of record and document control activities within the SNS document control center (DCC).

 

Major Duties/Responsibilities

-  Serve as a Document Control Specialist in the Requirements, Documents, and Records Management Services group within the Office of Integrated Performance Management

-  Ensure procedures, technical documents, calculations, drawings, and many other documents and records (from internal and external sources) are properly processed, accurately, timely, and made available in appropriate electronic document management systems, collaborative sites, or websites and distributed to identified personnel

-  Ensure documents and records meet criteria (format, identification, and approvals) specified by the record/ document owner prior to distribution; Coordinate with staff to correct any documents and records not meeting requirements

-  Index and file records (hard copy and electronic) using electronic document management system(s)

-  Maintain current information in databases as needed, provides retrieval services from various systems, and maintains tracking or status of documents and records in process

-  Ensure quality of electronic documents and records by reviewing scanned and other electronic files for legibility and completeness

-  Work with staff, vendors, and others to coordinate proper receipt and processing of records

-  Handle sensitive information, such as official use only proprietary and export control documentation

-  Support special projects such as the preparation of special records for long-term storage, reorganization of electronic files in systems as needed, verification of records receipt and metadata accuracy, maintenance of SharePoint collaborative sites, etc.

-  Provide user training or assistance on system(s) usage and processes on an as-needed basis

-  Maintain a strong commitment to the implementation and perpetuation of values and ethics

-  Ensure compliance with environment, safety, health and quality program requirements

-  Provide back-up support to other Document Control Specialists as necessary

 

Qualifications Required

Associate’s degree in Business, English, or Information Management or related field with entry-level knowledge of document control or records management experience, which includes indexing, scanning, accounting for or tracking documents, performing quality checks, distributing information, and records scheduling; or an equivalent combination of education and


experience.  This position requires access to records, information and/or technology that is subject to export control

requirements. Successful candidates must be qualified for such access without an export control license. Must possess experience utilizing electronic records and document management software, Microsoft Office products including Word, SharePoint, and Excel, and Adobe Acrobat Professional software. Must possess experience utilizing office equipment such as scanners, printers, copiers, etc. Must be able to work independently with a high degree of accuracy.  Must be able to adjust to changes and reprioritizing of work. Excellent human relations and good oral and written communication skills are necessary.

This position may call for lifting; working with boxes of records weighing approximately 20-40 pounds.

 

QUALIFICATIONS DESIRED: Experience in handling non-classified sensitive information. Working knowledge and use of UT-Battelle information resources, such as library systems.
