The University at Buffalo Libraries seek applicants for the position of University Archivist. This is a 12-month tenure-track faculty appointment at the rank of Associate Librarian in an academic research-oriented environment with expectations for research, publication and participation in professional associations.

The University Archives, part of the University Libraries' Special Collections area, is the most extensive in the SUNY system and holds records dating to the university's founding as a private institution in 1846. Collections in University Archives document all areas of the university including the establishment and activities of twelve colleges and professional schools and the construction of a new campus beginning in the 1970s. There are nearly 6,000 linear feet of records in University Archives in over 1,900 discrete collections. There are also extensive holdings of university and student publications, audio and video recordings, tens of thousands of photographic prints and negatives, and posters and other ephemera.

University Archives also collects non-literary manuscript collections. Included in the more than 200 collections are the Frank Lloyd Wright/Darwin D. Martin Collection, which documents the relationship between a major architect and client; the definitive body of records and other material on the Love Canal environmental disaster; extensive holdings on social activism and women's history in Western New York; and a rapidly-expanding group of collections documenting the history and activities of the Jewish community in Buffalo and Western New York since the second decade of the 19th century.

Special Collections also encompasses the Poetry Collection, with its collection of 20th- and 21st-century poetry in English and English translation containing over 140,000 titles, 6,000 broadsides, extensive manuscript holdings, over 9,700 little magazine titles, and audio and video recordings. Most notable are the world's most significant collection of James Joyce manuscripts and major collections of manuscripts, correspondence and archival material related to Robert Graves, William Carlos Williams, Wyndham Lewis, Robert Duncan and others.

The Rare Books Collection completes Special Collections, containing more than 17,000 titles with particular strength in first editions of British literature and the output of late 19th- and early 20th-century private presses. There are also nearly 25,000 special books, including the George Kelley Paperback & Pulp Fiction Collection.

Responsibilities:

The Archivist manages the day-to-day activities of the University Archives, including supervision of staff and student assistants. She/he builds and manages university archives record groups and unit-related digital collections, historical manuscript collections, as well as  non-literary rare book holdings and applies and promulgates standards and best practices in providing access to archival and manuscript collections through finding aids, catalog records and other descriptive means. The incumbent provides hands-on support for the arrangement and description of archival and manuscript collections and provides reference, consultation and instruction services related to University Archives collections.  The Archivist develops methods for maintaining and tracking statistical records of unit operations and use of collections; actively engages in outreach to promote the use of the collections, particularly student use of primary source materials. She/he creates and coordinates !
 exhibitions, public programs and publications that promote the university and the use of the University Archives and pursues grant funding and development opportunities to support University Archives' activities.
The incumbent serves as records manager for the University Libraries and participates in campus-wide records management activities and compliance. The Archivist facilitates effective working relationships and works collaboratively within the library, across campus and with external agencies. The incumbent pursues professional development opportunities, including research, publication and professional association activities, to meet library-wide and University criteria for tenure. This position requires bending, lifting and the ability to lift and carry materials up to 40 lbs. The position reports to the Director of Music and Special Collections.

Minimum Qualifications:

.        Master's degree in library and information science from an ALA-accredited program, with a concentration in Archives Management; equivalent training and experience may be substituted for the concentration in Archives Management
.        A minimum of five years' experience in a professional position in an archives or manuscript repository
.        Demonstrated mastery of current archival practice and knowledge of developing trends in the field including electronic records management and management of born-digital material
.        Experience with archival database applications, web-based technologies, digitization technologies and standards and metadata standards (specifically DACS, MARC, and EAD)
.        Ability to conceptualize and plan content for selective digitization of archival materials
.        Experience with exhibit development and design
.        Demonstrated skills in management and leadership, including written and oral communication, project management and planning
.        Demonstrated ability to work independently, collaboratively and effectively with diverse groups of faculty, students, staff and the general public
.        Ability to guide the work of others
.        Experience with donor relations

Organizational Overview:
 
Considered one of the most important privately assembled collections of the twentieth century, the Menil Collection houses approximately 17,000 paintings, sculptures, and prints, drawings, photographs, and rare books. Masterpieces from antiquity, Byzantium and the medieval period, the cultures of Africa, Oceania, and the American Pacific Northwest, and the twentieth century, including significant surrealist holdings, are particularly well represented.
 
General Responsibilities:
 
Working collaboratively with Registration, Information Technology Manager, and other staff, the TMS Database Administrator will oversee the conversion and migration of existing data from FileMaker Pro to Gallery Systems’ The Museum System (TMS) and act as the liaison between the museum and Gallery Systems during the conversion process.
 
Specific Duties:
 
1.      Manage TMS and Crystal Reports and provide proper and consistent entry and maintenance of data for the permanent collection utilizing approved museum standards.
2.      Work with the collections registrar and IT manager to develop and implement standards of data entry and use of TMS museum-wide.
a.       Establish guidelines for how and where data is entered into TMS
b.      Develop and implement strategy for data “clean-up” related to conversion
c.       Establish and manage access levels for TMS users
d.      Develop training procedures to insure effective use of TMS by all museum departments
3.      Oversee training of staff for TMS and Crystal Reports
4.      Maintain a working knowledge of TMS and Crystal Reports and inform staff of changes or updates in both programs.

 Responsibilities:
Position Description:  The Humanities and Social Sciences Librarian serves as the liaison to selected departments and programs within the Colleges of Liberal Arts and the College of Education and Human Development. The librarian develops and shares subject expertise in assigned areas, working collaboratively with the heads of public and learning services, liaison, and collection development services, as well as the humanities andsocial sciences librarians. This librarian delivers a program of outreach services to include library promotion, assessment of needs of assigned groups, and reference and instruction both to assigned groups and to the general population of students, faculty, and staff.
