Position: Circulation Supervisor
Reports To: Library Director and Assistant Director
The Chatham Area Public Library District in Chatham, IL (minutes from the state capitol Springfield) invites qualified applicants to apply for the open position of Circulation Supervisor. THIS IS AN IMMEDIATE OPEN UNTIL FILLED position. There are no relocation costs.
The Circulation Supervisor position is a critical position to the much beloved library and its fantastic staff. The Chatham Area Public Library District employs 30-plus full-time and part-time employees and has an operating budget of $815,000 (FY12). It is governed by a seven member board of trustees. Chatham is a bedroom community of Springfield, IL that has seen dramatic growth over the past 20 years. The Chatham Public Library District population is 15,000 (as of the 2005 Census).
The Chatham Area Public Library is 31,000 square feet that features a computer lab, the Opal Lee Chatham Local History/Genealogy Room, five meeting rooms and four study rooms, the Jessica Hay Toddler Area and Friends of the Library Bahlow Bookstore and Bank and Trust Cafe. The Library has a very active Friends of the Library Group, a Foundation, Friends of Genealogy and Art Committee.
JOB SUMMARY:
Under limited supervision, the Circulation Supervisor is responsible for supervising the circulation staff, including substitute staff, and volunteers. This positions reports to the Library Director and Assistant Director.
JOB DUTIES AND RESPONSIBILITIES:
Primary Duties:
• Manages and performs circulation responsibilities.
• Implements circulation standard operating procedures and system policies. Assures that circulation operations are consistent with Chatham Area Public Library District (CAPLD) policies, procedures, philosophies and objectives.
• Maintains routine communication and coordination with the Library Director.
• Creates and coordinates work schedules. This includes finding replacements for vacation and sick leave.
• Assists in interviews for all circulation candidates and works with the Assistant Director on the training of new hires.
• Conducts performance evaluations of assigned staff, writes formal evaluations, reviews with staff, clarifies performance expectations, and initiates appropriate corrective action as required, including coaching, development and discipline.
• Assists in collection development.
• Prepares monthly Circulation Notes and other staff updates during the year.
• Maintains patron database.
• Schedules use of the gallery meeting room space with staff and library patrons.
• Assists with newsletter distribution – supervises preparation for mailing.
Secondary Duties:
• Performs basic reference/readers advisory functions.
• Trains, schedules and supervises Library’s volunteers.
• Assists in the Staff Holiday Party and various library programs/events.
• Attends continuing education opportunities.
• May perform other duties and responsibilities as assigned.
Communication:
• The position is responsible for communicating across a wide range of staff and patrons. It serves as a resource person for information on Library policies and assists in creating procedures.
• Communications regularly contain confidential/sensitive information necessitating discretion.
Initiative:
• The position operates independently with minimal supervision and it experiences recurring work situations with occasional variations from the norm. This position must have ability to plan and initiate solutions for own work and that of others. The position must work with others on the development and implementation of policies and procedures and be responsible for communicating this information to other staff.
Accountability:
• The position encounters frequent interruptions and maximum flexibility is required. This position has a definite influence on library operations and expense outcomes and for prudent use of time, material and labor. This position can have impact on customers and levels of service through scheduling of staff, training of staff, and managing the delivery of services.
Leadership:
• This position is expected to function in a strong leadership role by clearly demonstrating and acting in accordance with library values and serving as a role model for others. The position assists in the communication of the library vision, values, policies and procedures. This position provides mentoring, role modeling, and promotes CAPLD values among the staff.
WORK ENVIRONMENT
• Work is usually preformed in a normal office environment. Evening and weekend work will be required.
POSITION QUALIFICATIONS
Education:
• A Bachelors Degree from a credited University is required.
Experience:
• Library experience preferred. Some supervisory experience or training required.
Knowledge, Skills and Abilities:
• Thorough knowledge of services, programs and materials available throughout a public library.
• The ability to remain positive in stressful situations.
• Effectively listen to other employees and patrons as part of understanding their needs and concerns.
• Manage several projects at once and adapt to changing needs.
• Use diplomacy and tact to establish and maintain positive relationships with employees, patrons and vendors.
• Clearly and succinctly communicates ideas and thoughts both verbally and in writing.
• Manages time to maximize productivity.
• The use of computer software and hardware, databases and the Internet.
• Developing and implementing systems that are multifaceted and require attention to detail to meet system requirements and to produce efficient operations.
• Developing and training assigned staff.
• Effectively resolving complaints from and dealing with unruly patrons.
• Participating with a team oriented approach to operations/functions.
PHYSICAL DEMANDS
• Primarily sedentary work, but also requires standing, walking, stooping or crouching, kneeling, crawling, balancing, reaching, pushing, grasping, hearing and talking.
• Requires the ability to exert up to 20 pounds of force occasionally to lift, carry, push, pull or otherwise move objects.
• Requires clarity of vision at 20 inches or less with the ability to adjust the eye to bring objects into sharp focus as well as clarity of vision at 20 or more feet. Must also be able to identify and distinguish color.
