Records Management Coordinator

Bucknell University’s Library and Information Technology seeks to hire a Records Management Coordinator which is a temporary one-year appointment. Reporting to the Director of Enterprise Systems and working closely with the
Curator, Special Collections/University Archives, this position provides leadership for implementing a comprehensive records management program for Bucknell University. The Coordinator will work collaboratively with campus offices, academic departments, and organizations to plan, implement, and manage the established records management program at Bucknell. The program seeks to manage all record formats, insure compliance with the University’s legal and fiscal responsibilities, and assist the University with access to critical information while preserving institutional history.

Specific Responsibilities
§ Responsible for project management and growth of the established University Records Management Program.
§ Works collaboratively with campus offices, academic departments, and organizations to build relationships, plan and conduct records inventories, appraisals, and create records schedules that meet the University’s legal
and fiscal obligations.
§ Works collaboratively with technology staff to achieve program goals.
§ Works collaboratively with University Archives to appraise University records and create policies that insure preservation of institutional history.
§ Maintains and monitors records management policies, procedures, and guidelines for the program.
§ Maintains and monitors the strategy for the identification and preservation of vital records important to the continuation of University business during adverse conditions.
§ Works with other Library and Information Technology staff members to help develop strategies for preserving electronic records and information.
§ Provides training for proper records management and compliance with the University's established program.
§ Assesses program needs and makes recommendations for the continuation of records management at the University.

Qualifications

§ Bachelor’s degree is required.
§ Experience establishing and successfully implementing a records management program is preferred.
§ Certified Records Manager (CRM), Masters in Library and Information Science from an ALA accredited school, or course work in information management, archival studies, and/or records management is preferred.
§ Knowledge of a higher education community and culture, including an initial understanding of legal and fiscal issues governing university records is preferred.
§ Strong communication and writing skills are essential.
§ Ability to work collaboratively with all levels of University administration, faculty, staff, and students is essential.

The Kellen Archives seeks an enthusiastic, professional project archivist to process the papers and work of innovative designer Michael Kalil. The position is part time, approximately 15-20 hours per week for approximately 9 months to one year.
Reporting to the Director of the Kellen Archives at Parsons The New School for Design, the Michael Kalil Project Archivist will be responsible for managing all aspects of processing the Michael Kalil Collection. In addition, the Project Archivist will conduct oral history interviews with key associates of Michael Kalil. The archivist will be assisted by a qualified part-time student intern, most likely drawn from one of Parsons' graduate programs.

POSITION: Electronic Description and Processing Archivist
DEPARTMENT: Hargrett Rare Book and Manuscript Library

PURPOSE AND SCOPE:
The Hargrett Rare Book and Manuscript Library is a department within the University of Georgia Libraries that reports to the University Librarian and Associate Provost, and is a leading repository on Georgia history and culture. The Library holds 40K cubic feet of historical manuscripts, photographs, and university archives; 200,000 volumes in its rare book and Georgiana collections; along with maps, and broadsides.
The Electronic Description and Processing Archivist for the Hargrett Library maintains the online databases used to manage and provide public access to archival collections, coordinates online cataloging of archival research collections in collaboration with the Cataloging Department, accessions newly purchased or donated archival collections, and arranges and describes archival materials. The position is critical for preparing the Hargrett Library for the move to a new Special Collections Libraries Building in the fall of 2011, as the incumbent will coordinate a project to inventory and barcode material from the historical manuscripts collection prior to its relocation. Once the new Special Collections Libraries Building is complete, the Archivist will work to accession, catalog, and provide online access to collections in response to the anticipated increase in volume of new material. The Archivist also will participate in developing and implementing new workflows and procedures for accessions necessitated by the new environment, which will incorporate the Harvard high-density model of collection storage. The incumbent will assure that the major cataloging and electronic description project executed as a one-time project in advance of the move will be sustained for new collections post-move.

The Electronic Description and Processing Archivist receives supervision from the Assistant Director and Head of Manuscripts, Hargrett Library; and receives training from the Associate Director, Digital Library of Georgia. The Archivist also works closely with the University Archivist; Deputy University Librarian and Director, Hargrett Library; catalogers working in the Monographs Original Cataloging unit; and other staff from Hargrett, DLG, Cataloging, and Systems.

DUTIES AND RESPONSIBILITIES:

Coordinates the cataloging of archival materials in collaboration with the University of Georgia Libraries’ Cataloging Department. Loads the resulting MARC records into the Hargrett Libraries’ database (currently Archivists’ Toolkit).

Manages the encoding or entry of container listings for archival collections and the merger of container lists with collection-level records in the AT database.

Ensures accession and resource records are updated to reflect accruals and revisions.

Manages the public online finding aids database for the Hargrett Library (currently an XTF database) in collaboration with the Digital Library of Georgia and UGA Systems Department. Among the related tasks are periodically reloading and re-indexing finding aid data, periodically reviewing the interface for improved usability, and planning for the continued development of the resource. Also, includes projects to link finding aid data to Web-based digital surrogates of Hargrett material.

Coordinates entry into the Hargrett Library’s electronic database of accessions (in Archivists’ Toolkit), including entry of donor information and preliminary inventory of material.

Arranges and describes archival materials in accordance to DACS and other relevant archival standards; and hires, trains and supervises interns and student employees engaged in processing archival material.

Along with other Hargrett staff, the incumbent will meet the public at the Hargrett Library’s public services desks and share reference duties, including occasional (approximately once per month) Saturday shifts.

Measures outputs by generating and collecting statistics.

Contributes to the mission of the Hargrett Library by participating in the development and evaluation of policies and services, assessing user needs and satisfaction with learning outcomes, serving on appropriate committees, and maintaining an awareness of changes in allied departments.

Develops and maintains professional skills by participating in continuing education and professional development activities such as conferences, workshops, and committee work; by conducting research or writing for publication; or by engaging in other creative and learning activities.

Participates in library-wide communication by reading, responding to, and initiating information transmitted via GRAPEVINE (the Libraries’ listserv) and other communication tools, and appropriate library-wide or departmental meetings and asking questions, seeking clarification, or initiating discussion on library issues.

Maintains awareness and acts upon changes and needs in the organization by assuming similar duties and responsibilities.

QUALIFICATIONS:

Required Qualifications: ALA-accredited MLIS, or relevant Master's degree (ACA certification expected in 5 years for continued employment); Demonstrated experience applying DACS and EAD, and familiarity with AACR2, LCSH, and MARC; Two years of archival experience in an archives or Special Collections arranging and describing historical collections, or an equivalent combination of education and experience; Ability to establish and maintain effective working relationships; Ability to function as a contributing team member in a production-oriented environment; Demonstrated initiative to complete projects; Excellent research, writing, and oral communication skills; Excellent interpersonal skills; Working knowledge of current archival descriptive and preservation standards, legal issues related to archival material, and issues related to digital conversion of archival materials; Working knowledge of historical research methodology and experience with standard bibliographic tools; Ability to lift and carry 40 lbs and tolerate dust and inactive mold spores.

Preferred Qualifications: Certified Archivist desired. Experience with Archivists’ Toolkit or other archival management systems desired.
