Description of Work

Imaging Unit Supervisor in Collections Management Branch oversees all processing, duplication, quality control testing of microfilm, source document and preservation imaging of records to archival standards. Oversees intellectual control of all permanent microfilm collections, including accessioning, maintenance of tracking databases, and physical control of security vaults and their environmental conditions.
Serves as agency's chief consultant on technical matters related to micrographics and conversion of digital images to microfilm. Oversees and maintains equipment used for preservation and source document imaging and the conversion of digital images to microfilm. Consults on records retention issues involving imaging of public records. Position serves as member of section's disaster response team and is primary responder for after- hours emergencies involving the security microfilm vaults.

Knowledge, Skills and Abilities
Requires thorough knowledge of micrographic processes, including duplication, processing, creation, chemistry, and quality assurance. Knowledge of records and information management principles as they relate to imaging and digital reformatting, preservation and conservation, application and use of micrographics and imaging systems. Ability to evaluate and prioritize projects and ensure their completion by others. Ability to perform all aspects of human resources management required as a supervisor. Thorough knowledge of the public records laws of North Carolina. Ability to cooperate and communicate with members of the staff, state and local officials, and vendors. Ability to communicate effectively in written and oral form.
Ability to use database software packages for tracking orders, reports, and to maintain intellectual control of holdings. Strong attention to detail and accuracy required for all processes and procedures carried out by unit.

Training and Experience Requirements
Bachelors degree in history, public history, public administration, or a related social science & one year experience in archival or records management experience; or an equivalent combination of training and experience. "Management prefers a master's degree in history, public history, public administration, library science, or a related social science discipline." Degrees must be from appropriately accredited institutions.

The Archives of the American Jewish Joint Distribution Committee (JDC) is currently hiring a part-time Quality Assurance Specialist for a large-scale text digitization project.

This position is 15-20 hours per week at our midtown Manhattan office.

The primary responsibility of this position is to interface directly with the overseas digitization vendor while technicians crop, compound, OCR, and apply basic metadata to digital images scanned from JDC microfilm. This includes:
- Examining JDC files (on microfilm and in digital formats) to formulate rules, find exceptions, and answer questions posed by the vendor;
- Communicating regularly with vendor via email and WebEx to provide instructions and answer questions;
- Keeping track of vendor's progress and delivering regular status reports to the project manager;
- Reviewing work done and ensuring corrections are made before data is imported into our digital asset management system.

Qualifications:

- Familiar with process of digitization from microfilm
- Experience encoding finding aids to EAD

Bancroft Technical Services (BTS) is the unit responsible for all of the technical operations of the Bancroft Library. BTS employs approximately 35 career and non-career staff and currently manages over fifteen grant-funded projects. BTS operations include: acquisitions, cataloging (original and copy), archival, manuscripts, and pictorial collections processing, and digital archiving. BTS takes a leadership role in setting national standards for technical processing, digital access, and digital archiving of rare books, archives, and special collections materials. A significant percentage of BTS processing and digital archiving projects is funded by grants or donors, leading BTS actively to partner with other campus and library units and with a variety of institutions throughout the San Francisco Bay Area, the state, and the nation.



Responsibilities
The Bancroft Library’s University Archives Processing Archivist reports to the Head of Bancroft Technical Services and is responsible for University Archives (UARC) and History of Science and Technology faculty collections that must be processed, arranged and described. These include both personal papers and administrative records covering a variety of topics and subject areas. The archivist works with the UARC Team to assist with the development and implementation of the records inventory instrument, field visits to campus offices, development of the inventory database, data input of survey results, analysis of the record reports, and creation of retention and disposition schedules.

The archivist has full responsibility for managing processing projects and supervising staff, which includes processing archivists, support staff, student assistants, and volunteers. He/she establishes priorities for arrangement and description of the collections, including the processing plans and finding aid structures. The archivist manages the unit workflow and work schedules, and establishes mechanisms for timely turn-around of such collections. He/she hires and trains unit student staff and edits/reviews unit staff work-product, especially the re-housing of the collections, labeling, and creation of finding aids and other descriptions. He/she plans the goals for collection processing and develops processing plans for specific collections in coordination with unit staff and curators in determining order, specificity, and appropriate level of description and analysis. He/she works with the University Archivists in the preservation assessment of collections and in selection of materials for conservation treatment. The archivist works with the BTS staff on appraisal of collections and administration of new acquisitions.


Qualifications
Required

MLS from an accredited library school with coursework in archival administration and experience in an archival repository.
Demonstrated knowledge and experience with processing, arrangement, and description of personal papers, organizational records, and University administrative records.
Prior experience with development of completed finding aids.
Knowledge of DACS, MARC, and application of an EAD encoding tool like EAD Express or WebGenDB.

Preferred

Familiarity with UC Berkeley administrative and faculty organization and functions.
Familiarity with Bancroft Library cataloging, arrangement and description.
Experience with document imaging projects which involve Electronic Document Management Software (EDMS), such as ImageNow software.
Excellent analytical, interpersonal and communication skills, initiative and flexibility.
Strong commitment to excellence in service and demonstrated ability to work independently, as well as collaboratively in a complex, changing environment.
The successful candidate will show evidence of effective project planning, management, and completion.

The primary responsibility of the University Archivist is to manage and coordinate all activities of the University Archives, and to assume, as time permits, responsibility for the care and management of other archival collections within the newly merged department of Archives and Special Collections. The University Archivist collects, organizes, describes, preserves, and provides assistance in the use of archival resources. These include official records of University offices and other historical records and/or objects in a variety of media, including books, manuscripts, maps, architectural drawings, microforms, video formats, photographs, sound recordings, digital files and historical artifacts. The Archivist also provides advice and training to campus units concerning the organization and retention of records; educates the community about the Archives’ resources through such means as exhibits, articles, class presentations, public lectures and workshops; shares public service responsibilities in the Department of Archives and Special Collections; and works collaboratively with other Library and Information Services units to ensure effective communication and coordination of activities. The University Archivist reports to the Head of the Department of Archives and Special Collections.

Essential Responsibilities Include:
• Provides creative leadership in directing and managing the work of the University Archives.
• Supervises student employees and may supervise other exempt or non-exempt staff and outside contractors; may also direct the work of student interns.
• Assumes scheduled hours on the Archives and Special Collections Service Desk

Minimum Qualifications (Education, Experience, Skills)

Required:

• Bachelor’s degree; specialization in humanities or social sciences preferred.
• Excellent oral and written communication skills and the ability to work effectively with college or university administrators, faculty, IS staff, students, donors, visiting scholars and members of the general public.
• Minimum 1-2 years experience working in archival setting in a college or university library, historical society or similar institution and/or a combination of course work and internship(s) in archival science.

• Experience in creating online finding aids for the purpose of making collections accessible.

Preferred:

• Knowledge of current archival processing and cataloging standards, such as DACS (Describing Archives: a Content Standard) and EAD (Encoded Archival Description).
