Job Title: Office/Special Projects Coordinator
Reports to: President and Special Projects Director
Job Purpose: The Office/Special Projects Coordinator serves as the primary support staff for the President and Special Projects Director, as well as special event organization and coordination under the direction of the President and Special Projects Director. This individual will also provide office support in the form of answering phones and greeting and directing visitors to the appropriate person.
Primary Duties:
1. Serve as the primary support staff for the President providing administrative assistance as assigned including:
a. Correspondence
b. Keeping the President’s Calendar
c. Assistance as needed with board reports
2. Serve as primary support staff for the Special Projects Director to assist in the organization and coordination of Friends’ special events including:
a. Evergreen Ball
b. 3P Barbeque
3. Work with the Director of Development on NITF Blount County
4. Assist with planning an execution of special event activities not listed above as assigned (some weekends required).
5. Act as first line of defense in IT support and primary contact for all IT needs.
6. Act as the primary Database Administrator for Raiser’s Edge and provide maintenance of the computer database of donors and volunteers.
7. Maintain office equipment, insuring that copy machines, fax machines, printers, etc., are properly stocked, maintained and initiate repairs when necessary
8. Maintain the office’s Master Calendar
9. Answer the telephones and relay messages in a timely and accurate manner to the appropriate individual(s)
10. Greet visitors, directing them to the appropriate individual or giving them information in a courteous and professional manner
11. Handle general office issues such as problems with the security system
12. Maintain supply inventory for the office, including food and beverages, as needed or requested
13. Purchase supplies for special events as needed or requested
14. If applicable, order holiday cards for Friends of the Smokies, generate mailing list and send cards
Education/Experience Required:
Three to five years of applicable experience. Associates Degree or some college preferred.
Technical Competencies:
1. Ability to multi-task is a primary skill requirement
2. Superior proficiency in operating PC-based systems including standard Windows-based programs (Excel, Word, Outlook and Power Point)
3. Maintenance of databases and report preparation as with Raiser’s Edge
4. Must have a general knowledge of the Great Smoky Mountains National Park and the appropriate resource persons in the Park
5. Must have working knowledge of Friends of the Smokies programs and operations.

1. Maintains a pleasant and appropriate dress and appearance
2. Maintains a pleasant, friendly attitude and demeanor when associating with the general public, officials, staff, and constituents
3. Participates as a team member in office discussions and program development. Offers ideas, suggestions and other types of input, as appropriate
4. Flexible work schedule during special events and board meetings
5. Good communication skills, both oral and written
6. Undertakes self-improvement activities, particularly in regard to keeping current office skills, National Park information, or other information that may impact the operations of Friends of Great Smoky Mountains National Park
