Position Title:  Archivist for Records Management

Archives of the University of Notre Dame, Notre Dame, Indiana 

The Archives of the University of Notre Dame seeks to fill the position of Archivist for Records Management. The records management program was created within the University Archives to ensure that active records are properly maintained and accessed, inactive records are handled in a manner that complies with appropriate local, state, and federal laws and administrative needs, and archival records are identified and retained. 
   The individual in this position is responsible for the ongoing development, implementation, and management of a comprehensive campus-wide records management program. The Archivist for Records Management meets with departments to assess current record handling procedures, completes extensive record inventories, creates formal record retention and disposition schedules, identifies and preserves archival records, and educates University staff about proper records management. This individual also consults with campus departments on records related issues including filing, retention, security, digital records, and imaging projects. The Archivist for Records Management will assist in developing policies and procedures as necessary and act as the Archives' representative on University committees addressing records issues. The Archivist for Records Management reports to the University Archivist and acts as the Archives' liaison with other campus departments including the Office o
f General Counsel, Office of Information Technology, and Audit and Advisory Services.

Minimum Qualifications: Master's degree in library or information science, records management, archives, public history, history and/or relevant work experience of at least three to five years is required. Certified Records Manager (CRM) designation or the willingness to obtain it is preferred but not required. Strong analytical, communication, and writing skills are essential. Knowledge of digital records issues and preservation techniques highly preferred. Demonstrated ability to manage a variety of projects and tasks in a complex and dynamic environment, work in high pressure situations, and work effectively at all levels of the University community. Must be able to lift 40 pound record storage boxes over your head.

2009 SUMMER INTERNSHIP PROGRAM
The State Historical Society of North Dakota is offering five summer internships providing intensive work experience in a specialty area. The State Historical Society of North Dakota operates the North Dakota Heritage Center, the state's largest museum, as well as 55 historic sites and three regional museums.  It maintains a collection of over one million two- and three-dimensional objects and annually serves more than 250,000 people from around the world.

APPLICATION PROCEDURES
Prerequisites: In addition to specific internship requirements, all applicants must demonstrate a general knowledge of the humanities and/or history, organizational skills, strong communication skills, the ability to manage multiple tasks, and the ability to work independently as well as with a variety of people.

Successful applicants will undergo a criminal background check.  The Society may decline to offer an applicant an internship based on the results of that check. Interns wishing to receive course credit are responsible for coordinating credit requirements with their faculty advisor and with the State Historical Society of North Dakota internship supervisor. Housing may be available through Bismarck State College.

DAKOTA DATEBOOK RESEARCH INTERN
Scope of Work: The internship is designed to promote research and writing skills in the successful candidate.  The Datebook intern will research story ideas for possible inclusion into the Dakota Datebook series on Prairie Public Radio.  The intern will learn research skills using microfilm and manuscript materials from the collections at the State Archives in the North
Dakota Heritage Center.  The intern will become skilled at using microfilm readers, computer indexes, and learning how to access the collections at the State Historical Society. 
   The intern will write on specific topics which will be provided or they may provide their own ideas for scripts for the series.  There will also be some indexing of past stories and the creation of finding aids for current writers of the program.  The intern will work with their supervisor to learn the skills of script writing and compiling future story ideas. 
 
Products:  Proposed scripts that are interesting, timely, and accurate for use in Dakota Datebook productions.

Schedule:  The internship is an eight-hour workday, Monday through Friday. 
The length of the internship is negotiable, but eight to ten weeks is preferred.  The internship will begin with discussions between the Dakota Datebook staff, State Historical Society of North Dakota staff, and the intern.  These discussions will establish schedules, priorities, and processes for research projects. 

Location:  North Dakota Heritage Center, Bismarck, ND

Supervisor:  Jim Davis, head of reference services

Prerequisites: Experience in historical research, writing, and a general knowledge of North Dakota history.

HISTORIC INTERPRETATION INTERN
Scope of Work: The historic interpretation internship includes two entities: the award winning Footsteps Into Medora's Past program and interpretive work at the Chateau de Mores.  Duties include but are not limited to:
o Internship planning sessions
o Site meetings
o Research on the community of Medora
o Distribution of promotional materials for the program
o Guiding visitors on daily walking tours through Medora and Chimney Park
o Box office for museum theatre productions
o Interpretation at the Chateau de Mores state historic site
o Oral histories of area residents
Footsteps Into Medora's Past is a collaborative project between the State Historical Society of North Dakota, Dickinson State University and Billings County Historical Society and Museum. The program includes a walking tour of Medora and Chimney Park, the museum drama "Recollections of Murder and Mayhem in Medora,"  and senior and children's tours of the Chateau de Mores.
The program received the "Excellence in Educational Programming" award from the American Association of Museums in 2007.

Products: Daily activity journal, supplemental readings, Guiding walking tours, interpretation at the Chateau de Mores site, assistance with the specialty tours, transcriptions of oral histories of area residents, completion of mid-season and end-of-season evaluations.

Schedule: June through August 2009, minimum 200 hours (some flexibility of dates possible). The workweek will include occasional weekends and evenings.

Location: Chateau de Mores State Historic Site, and the community of Medora

Pre-requisites: Fundamentals of Public Speaking class, Introduction to American History or History of the American West, Fundamentals of Composition.

CURATORIAL INTERN
Scope of work: Assist curator of collections management (Museum Division) with collections management activities.  The intern will have the opportunity to work on a variety of collections tasks including accessioning, cataloging, loans and designing and installing a small exhibit.  The intern will develop skills in identification, classification, description, documentation, and storage of museum artifacts.  The intern will receive practical experience in all aspects of collections management as well as other areas of museum work.

Products:  Completed worksheets, photographs, and other products are possible, depending on the projects. A finished and installed exhibit. Monthly reports of work completed will be required, along with on-site training and supplemental readings.

Schedule:  Starting on or after July 1, 2008.   Will also consider internships starting in January 2009.  Both 3- month and 6- month internships available.

Location:  North Dakota Heritage Center, Bismarck, ND

Supervisor:  Jenny Yearous, curator of collections management

Prerequisites: Undergraduate student of senior status in anthropology, U.S. history, American studies, museum studies, natural history, or related field.  Recent graduates and graduate students are encouraged to apply. Course work or experience in collections management/museum registration preferred.

TECHNICAL SERVICES INTERN
Scope of Work:   The Technical Services intern will utilize CONTENTdm software to create a searchable resource for photographs from the State Historical Society's collections.  CONTENTdm software is used to store and manage a variety of resources from the state archives.  Tasks will include, but are not limited to: 
*     Locating archival scans on portable hard drive, then resizing and adjusting resolution of photographs using GIMP software.  Converting photographs from TIFF files to JPEG files.
*     Import photographs into CONTENTdm software and describe according to guidelines in Data Dictionary.
*     Perform any needed research to fully describe or identify the photographs using library resources.
*     Upload finished files to the CONTENTdm server for review by supervisor.
*     This project will be completed in small batches of no more than 50 images at a time.

Products:   Inputting a minimum of 500 images in CONTENT dm.  The intern will also learn to use a variety of research tools, such as ODIN catalog, and Library of Congress authority files.   Additional goals to be established by the intern and his or her supervisor.  Attending staff meetings and training sessions.  Participation in mid-term and final evaluation.

Schedule:    The internship is an eight-hour workday, Monday through Friday. 
The length of the internship is negotiable, but eight to ten weeks is preferred.

Location:   North Dakota Heritage Center, Bismarck, ND

Supervisor:  Rachel White, Head of Technical Services

Pre-requisites:   Computer skills and the ability to ability to learn how to operate CONTENTdm software.  In addition the intern will learn to use a variety of software including GIMP photo software, Microsoft Access, research tools including ODIN catalog, and the Library of Congress authority file.

DIGITAL PROJECT ARCHIVIST INTERN
Scope of Work: The Digital Project Archivist (DPA) intern will assist in
selection and scanning of photographs and documents in historical
organizations throughout the state.  The intern will collect descriptive
data on images and check for copyright and ownership compliance.  They
will
work directly with the director of the State Archives to contact
participating institutions and schools to coordinate scanning and set up
training.  Regular progress reports with the project team regarding the
project status and activities.  The DPA intern will work with the head
of
technical services and archivists at UND and NDSU to upload images and
metadata files to CONTENTdm.  Scanning will be performed in Bismarck,
NDSU
(Fargo), UND (Grand Forks), or at other sites as needed.
Products:  Completed scans and descriptions of images from local
historical
organizations for purposes of uploading to CONTENTdm.
Schedule:  The internship is an eight-hour workday, Monday through
Friday.
The length of the internship is negotiable, but eight to ten weeks is
preferred.  The internship will begin with discussions between State
Historical Society staff and the intern.  These discussions will
establish
schedules, priorities, and processes for the project.

In state travel will be required.

Prerequisites: Ability to interact positively with a varied clientele
and
provide appropriate information or direction. Must have excellent
interpersonal skills and be self-motivated. Computer skills required,
including basic knowledge of word processing and database programs for

American Library Association (ALA) accredited program. Four years
cataloging experience using AACR2 in an automated environment. Working
knowledge of AACR2, LC Classification, LCSH, and Dewey Classification
(one semester of cataloging coursework). Detailed knowledge of MARC
format. Excellent oral and written communication skills. Accurate data
entry skills. Self-starter, able to organize work priorities, and

bibliographic and item level records. All activities take place in an
online environment. Trains and supervises cataloging paraprofessionals,
oversees their work, and monitors the workflow. Training takes place in
an online environment, most often on a one-on-one basis. Participates in
collection development and University shared governance activities.

Full-time position with benefits. $3,081.80 - $3,728.98 per month
